Application for Visiting Speaker Travel/Accommodation Support

Instructions to Applicants

One of the objectives of The Indiana Section of the American Association for Dental Research is to promote the advancement of research in all sciences pertaining to the oral cavity, its adjacent structures, and their relation to the body as a whole; the utilization of this knowledge for the promotion of better approaches to the prevention and treatment of oral diseases and other diseases of the head and neck; and the improvement of communication and cooperation among all investigators in order to share this knowledge for the benefit of all people.

Funds have been set aside to provide faculty, who are members in good standing of the INAADR, the opportunity to invite to IUSD outside speakers/scholars. Up to two applications per faculty member will be considered annually and the maximum award per funded application is $600.

****PLEASE NOTE: The invited guest speaker will be reimbursed up to $600 for travel expenses (hotel, airfare, taxi, food, etc.) for the event. If the expenses are less than $600, the speaker will only be reimbursed the encumbered amount. If the expenses are more than $600, the person (and/or department) who invited the guest speaker will be responsible for anything above $600 OR the guest speaker will have to accept that there will only be a total of $600 provided for travel related expenses.

In addition to this form, IRS and IU regulated forms must be filled out for any travel related expenses. This form will be sent to the person inviting the guest speaker. This form needs to be completed before or when the speaker arrives for the presentation.

The basis for consideration includes: the potential benefits of the visit of the scholar to the students, faculty, and staff of IUSD; an estimate of the number of people expected to attend the presentation (will the presentation be of general interest or of interest to a specialty); identification of the target audience; would you identify individuals (students and/or faculty) who would want to meet with the scholar personally; will the scholar be able to meet with a group of students; and would another department share the cost of the visit?

The INAADR will contact you and let you know whether your request has been approved.

In addition to providing for travel expenses, the INAADR will provide a $200 honorarium. This has absolutely nothing to do with travel related expenses, but instead is used as an additional incentive to recruit high caliber guest speakers.

It is the responsibility of the host faculty member or department to arrange travel, accommodations, and itineraries for visiting scholars after the request has been approved by the INAADR. The INAADR will arrange seminar rooms; provide advertisement of the talk/seminar, and refreshments during the seminar/talk.
